The Secretary of the Board plays a vital role in supporting good governance by ensuring the smooth administration of the Board’s activities. The Secretary is responsible for maintaining accurate records, meeting compliance obligations, and facilitating effective communication between Board members and stakeholders.

Key Responsibilities

  • Board Administration

    • Prepare and distribute agendas, papers, and minutes for Board and Annual General Meetings (AGM).

    • Maintain accurate and up-to-date records of all Board decisions and actions.

    • Ensure timely lodgment of compliance documents, including with the relevant regulatory bodies (e.g., NSW Fair Trading).

  • Governance & Compliance

    • Support the Board in adhering to the organisation’s constitution and governance obligations.

    • Maintain the official register of members and Board positions.

    • Assist with the preparation of the Annual Report.

  • Communication & Support

    • Act as the primary point of contact for Board correspondence.

    • Distribute information to Board members in a timely manner.

    • Support the Chair and other Board members in carrying out their duties.

  • Meetings & Documentation

    • Schedule meetings and manage logistics (virtual and in-person).

    • Record accurate minutes and ensure they are approved and archived.

    • Organise the Annual General Meeting and ensure compliance with notice and reporting requirements.

Essential Selection Criteria

Applicants must: ✔ Live on the Central Coast of NSW to maintain strong local engagement and accessibility for meetings and events. ✔ Demonstrate excellent organisational and administrative skills. ✔ Show attention to detail and accuracy in record-keeping. ✔ Possess strong written and verbal communication skills. ✔ Have a basic understanding of governance requirements for not-for-profit organisations (or willingness to learn). ✔ Be comfortable using email, word processing, and online meeting platforms. ✔ Commit approximately 5–10 hours per month, with additional time during AGM and festival periods.
