POSITION DESCRIPTION: TREASURER

Organisation: Moorabbin Area Toy Library (MATL)

Position Title: Treasurer

Reports To: Committee and Members (via Annual General Meeting)

Term: 12 months (elected annually at AGM)

Time Commitment: Approximately 5 hours per month, including monthly Committee meetings (approximately 11 per year), Annual General Meeting, and occasional Executive and Finance Committee meetings

ABOUT MOORABBIN AREA TOY LIBRARY

Established in 1987, the Moorabbin Area Toy Library is a not-for-profit organisation supporting local families with the tools for play for over 30 years. We operate four times per week with a dedicated volunteer committee and member volunteers.

PURPOSE OF THE ROLE

The Treasurer manages MATL's day-to-day financial operations, maintains accurate financial records, and keeps the committee informed of the organisation's financial position. The role plays a key part in ensuring MATL remains financially sustainable so we can continue supporting families in our community.

WHAT WE'RE LOOKING FOR

Financial Administration

  • Comfort managing income and expenditure records
  • Ability to reconcile accounts, including online payment systems (PayPal/Square), and maintain accurate financial documentation
  • Willingness to manage banking, bill payments, and insurance renewals
  • Confidence ensuring two-person authorisation is followed for payments

Payroll

  • Ability to process fortnightly payroll for two part-time staff
  • Willingness to review and approve timesheets, issue payslips, and maintain payroll records
  • Comfort managing superannuation, PAYG withholding, and leave entitlements on an ongoing basis

Reporting and Planning

  • Ability to prepare and present clear financial reports at committee meetings
  • Willingness to assist with annual budget preparation in collaboration with the committee
  • Capacity to prepare financial statements for the Annual General Meeting
  • Willingness to support financial reporting requirements for grant acquittals where applicable

Compliance and Governance

  • Willingness to act as an authorised bank account signatory
  • Comfort acting as the organisation's authorised representative with the ATO for ABN-related matters
  • Willingness to arrange an annual financial review if required under MATL's obligations
  • Commitment to providing thorough handover documentation to the incoming Treasurer, including transfer of bank and ATO permissions

Personal Qualities

  • Commitment to MATL's values: diversity, fun, sharing together, and nurturing the future
  • Reliable and methodical approach to managing responsibilities
  • Collaborative attitude and willingness to work closely with the President and other committee members

No formal accounting qualifications are required. Experience with bookkeeping, payroll, or financial administration is helpful, though support and thorough handover from the outgoing Treasurer will be provided.
