Administration Secretary / General Board Member
ShelterBox Australia is seeking a committed and well-organised volunteer Board member to contribute to the governance and administration of a respected international disaster relief charity. As an affiliate of ShelterBox Trust, ShelterBox Australia supports communities around the world affected by disaster and humanitarian crises by raising funds and building national awareness for emergency shelter and vital aid. While an independent charity ShelterBox works closely with Rotary International as a partner in disaster relief.
This is an opportunity to apply your administrative, governance and relationship-building skills in a purposeful Board role. ShelterBox Australia is supported by a small team comprising a full-time CEO and three part-time employees. The Board of Management includes eight voluntary Directors who provide strategic oversight and, where required, practical support to the CEO. The Board meets online each month and aims to meet in person at least once each year for strategic planning. Board subcommittees support governance and meet as needed.
About the Role
Maintaining Board records and supporting the effective management of organisational documents, as the Administrative Secretary
- Maintaining the Board meeting schedule and coordinating the timely distribution of agendas and Board papers.
- Preparing, documenting, and circulating accurate minutes shortly after each Board meeting.
- Liaising with the Company Secretary on governance, compliance and related administrative requirements.
In addition to the Administration Secretary responsibilities, you will contribute as a General Board Member by:
- Attending and actively participating in Board and committee meetings, supporting appropriate governance and oversight.
- Volunteering for and completing Board-assigned tasks thoroughly, collaboratively and on time.
- Preparing for meetings, staying informed on committee matters, and reviewing minutes, reports and papers as required.
- Building constructive and collegial relationships with fellow Board members to support informed discussion and consensus decision-making.
- Contributing to fundraising and awareness activities where available.
- Undertaking other responsibilities as agreed with or assigned by the Board.
About You
- Experience in an administrative or secretarial role supporting a management committee, Board of Management or similar governance body. Not-for-profit experience is beneficial but not essential.
- Excellent attention to detail, strong organisational capability, and confidence using common IT and administrative systems.
- A professional, diplomatic communication style and the ability to build positive working relationships.
- A genuine commitment to ShelterBox’s humanitarian purpose, with previous involvement in a charitable or community organisation viewed favourably.
